The Job: Executive Assistant to the CEO

Reports to: Carey Nieuwhof, CEO
Location: Remote (Eastern time hours required)
Travel: Several trips per year (5-6 trips)
Start date: ASAP

Success in this position means that Carey Nieuwhof, the CEO, is fully equipped to focus on his unique contributions—writing, thinking, public speaking, podcasting, and ensuring the company fulfills our mission—while you own key details and ensure projects are optimally managed throughout the company.

About The Role

This role goes beyond the scope of calendars and inboxes. You’ll manage Carey’s calendar, priorities, and workload, oversee his work in Asana, negotiate speaking engagements and contracts on Carey’s behalf, help manage new projects for the team, and triage a high-volume public inbox for Carey.

You’ll also be trusted with a range of personal logistics, from booking travel to Carey’s preferences to coordinating local logistics with in-person support, and with issues that arise without warning: a vendor dispute, a scheduling conflict, an inquiry that needs a judgment call before it reaches Carey at all.

A key measure of success in this role is protecting Carey’s time and energy so he’s free to focus on the work only he can do for the company.

Key Responsibilities

  • Manage Carey’s calendar, priorities, and daily workflow, exercising judgment about what requires his direct attention and what doesn’t.
  • Manage Carey’s work in Asana, keeping deadlines and priorities visible across concurrent initiatives.
  • Arrange travel in accordance with Carey’s established preferences and requirements.
  • Routine scheduling, formatting, and drafting work, freeing up time for higher-value judgment calls.
  • Manage select personal appointments and coordinate with local support as needed.
  • Triage high-volume public-facing inboxes, responding directly where appropriate and escalating items that require Carey’s attention.
  • Negotiate speaking engagement fees and contract terms on Carey’s behalf.
  • Lead end-to-end production of Art of Leadership Live, including vendors, budget, run-of-show, and on-site management.
  • Help coordinate new initiative logistics (book launches, course launches, etc.).
  • Help coordinate The Art of Leadership Live alongside other team members.
  • Help resolve day-to-day operational issues, such as customer service issues, scheduling conflicts, and partnership inquiries, using independent judgment.

What We’re Looking For

  • Extensive High-Level EA Experience — Managing calendars, inboxes, and booking travel.
  • Personality Fit and Tone — This is a daily, close working relationship; competence alone isn’t enough. Much of this job is saying no to the myriad requests that come our way, so excellent client and customer relationship skills is a must. This candidate will say “no” in a way that makes people feel seen, heard, and grateful. 
  • AI Fluency — Comfortable using AI tools to handle the administrative layer of the job, so their time goes toward judgment work, not typing.
  • Judgment and Discretion — Can you make a good call on Carey’s behalf without him in the room?
  • Negotiation and Client Management — Proven experience getting good outcomes with speaking clients, partners, or customers.
  • Ability to Travel Several Times Per Year — Including coordinating logistics, lodging, and scheduling for team retreats.
  • Project and Event Management — Ability to manage projects and events with hard deadlines, ensuring Carey and the team are set up for success.
